2. What Personal Data We Collect

2.2. When you submit a form or enquiry. Information you provide directly, such as your name, business name, email address, phone number, and any details you include about your enquiry.

2.3. When you become a client. Information necessary to deliver and administer the Services and your subscription, including your name, business name, contact details, billing address, and payment details (processed securely by our payment provider, we do not store your full card details ourselves).

2.4. When you contact us by phone, email, or text. A record of that communication, including call recordings where applicable (you will be notified if a call is being recorded).

4. Marketing Communications

4.1. Email.

(a) Where you have given us consent to receive marketing emails (for example, via an opt-in checkbox on our website), we will send you marketing emails on that basis. You can withdraw this consent at any time by using the unsubscribe link in any marketing email or by contacting us directly.

(b) We may also send marketing emails to limited companies and other corporate entities ("corporate subscribers") on the basis of our legitimate interest in promoting relevant services to prospective business clients, without needing prior consent, in accordance with the Privacy and Electronic Communications Regulations 2003. Every such email will clearly identify us as the sender and provide a working means to opt out of further communications, and we will stop on request.

(c) We do not send unsolicited marketing emails to sole traders or other individual subscribers without their prior consent, as the Regulations treat these in the same way as private individuals. Before cold-emailing a prospective client, we take reasonable steps to confirm whether they are a corporate subscriber.

4.2. Phone calls and text messages. We will only send you marketing text messages, or make marketing calls to you, where we have your consent to do so, or otherwise in accordance with the Privacy and Electronic Communications Regulations 2003. You can ask us to stop contacting you for marketing purposes at any time by replying "STOP" to a text message, telling us on a call, or contacting us using the details in Section 1.3. If your number is registered with the Telephone Preference Service (TPS) or Corporate Telephone Preference Service (CTPS), we will check this before making any unsolicited marketing calls.

5. Cookies

5.1. Our website uses cookies and similar technologies, some of which are strictly necessary for the site to function, and some of which (such as analytics) are only used with your consent. 6. Who We Share Your Data With

We share personal data with the following categories of third parties, only as necessary to deliver our Services:

Our website, CRM, and marketing automation platform — used to run our website, manage client relationships, and send emails, calls, and texts.

Our payment processor — used to process subscription payments securely. Our payment processor processes payment data under its own privacy policy as an independent controller for certain purposes.

Analytics providers (e.g. Google Analytics), where you have consented to non-essential cookies.

Professional advisers (such as our accountant), where necessary for legal, tax, or accounting purposes.

6.2. We do not sell your personal data.

6.3. If you are a client: where we send review requests or other communications to your own customers on your behalf (for example, as part of the Automated Google Review Request System), we do so as a data processor acting on your instructions. You remain the data controller for your own customers' personal data, and are responsible for ensuring you have a lawful basis to share it with us. This relationship is governed separately by our Terms of Service and, where applicable, a data processing agreement between us.

7. International Transfers

7.1. Some of the third parties we use to deliver our Services (see Section 6) may store or process personal data outside the UK, including in the United States. Where this happens, we ensure appropriate safeguards are in place, such as the UK's International Data Transfer Addendum to the EU Standard Contractual Clauses, or reliance on an adequacy decision, in accordance with UK data protection law.

8. Data Retention

8.1. We keep personal data only for as long as necessary for the purposes it was collected, including to satisfy any legal, accounting, or reporting requirements. As a general guide:

Enquiry/lead data, where no contract results, is kept for up to 24 months, after which it is deleted unless you have separately consented to ongoing marketing.

Client account and billing data is kept for the duration of the contract and for 6 years afterward, to meet UK tax and accounting record-keeping obligations.

Marketing consent records are kept until you withdraw consent, plus a reasonable period afterward to evidence that withdrawal.

9. Your Rights

9.1. Under UK data protection law, you have the right to:
